Introduction
This guide will help you, as a manager, allocate prospects to your sales team using the Halo platform. You can allocate prospects either in bulk or individually. Follow the steps below to manage and distribute prospects effectively.
Accessing the Manage Prospects Page
- Log in to Halo: Ensure you have manager access.
- Navigate to the Manage Tab: Click on the 'Manage' tab to access the management features.
- Select Prospects: Go to the 'Manage Prospects' page.
Types of Prospects
There are three types of prospects you may encounter:
- Prospects: These are people in your database uploaded for the sales team to follow up and invite to events via telephone.
- Incomplete Bookings: Individuals who have started the booking process but haven’t completed it. They are considered very hot leads and should be prioritized for follow-up.
- Inquiries: If the inquiry module is enabled, these are inquiries that come in and need allocation to the team.
Allocating Prospects in Bulk
- Select Prospects: Choose the type of prospects you want to allocate (e.g., Prospects, Incomplete Bookings, Inquiries).
- Choose Sales Team Members: Select all members of your sales team.
- Divide Evenly: Allocate the prospects evenly among the team members (e.g., each gets 61 or 62 prospects).
- Adjust Allocation: If needed, adjust the number of prospects assigned to specific team members. For example, if someone is off, reduce their allocation and redistribute the remainder.
- Confirm Allocation: Click 'Confirm' to finalize the distribution.
Allocating Prospects Individually
- Select Individual Prospects: Choose the individual prospects you want to allocate.
- Select Salesperson: Assign the selected prospects to a specific salesperson.
- Confirm Allocation: Click 'Confirm' to allocate these prospects.
Filtering and Reallocating Prospects
- Filter Prospects: Use the filter options to find specific prospects or search by name.
- View Assigned Prospects: Check the allocation for each salesperson to ensure proper distribution.
- Reallocate Prospects: If needed, select the allocated prospects and reassign them to another salesperson.
- Unassign Prospects: If you need to remove prospects from a salesperson, unallocate them and put them back into the pool for reassignment.
Monitoring Prospect Allocation
- View Allocation History: At the bottom of the Manage Prospects page, you can see the history of all prospect allocations.
- Sales Team View: Sales team members can view their allocated prospects in the 'Prospects' tab.
Conclusion
By following this guide, you can efficiently allocate prospects to your sales team, ensuring a balanced distribution and effective follow-up on leads. Use the bulk allocation for large volumes and individual allocation for more targeted assignment. Always monitor and adjust allocations as needed to optimize your team's performance.
